ODIN-K9 K9 Training & Kennel (“ODIN-K9”, “we”, “us”) is a dog training and Belgian Malinois breeding business in the Texas Hill Country. This policy explains what information we collect through odin-k9.com and our member portal, how we use it, and the choices you have. If you have a question, email info@odin-k9.com.
What we collect
- Contact details you give us: your name, email address and phone number.
- Booking requests: the service, date and time you ask for, the trainer you choose, your dog’s name and any notes you add.
- Puppy waitlist applications: your answers about your home, household, other pets, experience, plans for the dog, your preferences and questions, and your typed signature agreeing to the waitlist terms.
- Your portal account: your email address and a password (stored only in scrambled form; we can’t see it), or your name, email address and profile photo from Google if you choose “Sign in with Google”. We also see when you last signed in or were active in the portal.
- Your dog’s profile and records: details such as breed, birthday, sex, weight, whether they’re spayed or neutered, your vet, photos, intake answers (including behavior and bite history and health notes), vaccine dates and the vaccine records you upload.
- Signed agreements: the training waiver and other agreements you sign in the portal, with the name you type and the date.
- Messages you send us in the portal, including group chats you’re added to.
- Notes our team keeps: notes about your sessions or puppy application, and calls, texts or emails we log by hand. This can include people who contact us by phone or email without using the website.
- Notifications: if you turn on phone notifications, a technical address for your device so we can send them.
- Basic technical information: like any website, our hosting and sign-in providers receive your IP address and browser details when you visit or sign in, and our phone provider keeps records of calls and texts. To limit spam, our forms keep a scrambled code made from your connection’s address instead of the address itself, and use it only to stop repeat sending.
How we use it
- To schedule and run training sessions, evaluations and classes, and to send you reminders.
- To review puppy waitlist applications and match puppies with suitable homes.
- To keep your dog’s training, health and vaccine records so we can work with your dog safely.
- To answer your messages and keep in touch about your sessions or application.
- To run your portal account, keep it secure and prevent spam and misuse.
We don’t sell or rent your information, and we don’t use it for advertising.
Who can see it
- Our team. ODIN-K9’s owners and admins can see member records to run the business. Trainers on our team see only their own clients (including anyone who books with them): contact details, dogs, bookings, messages, waivers, intake forms and vaccine records. Trainers don’t see puppy waitlist applications.
- Other members. If we add you to a group chat (for example, a class), the other people in that group see your first name, last initial, profile photo and the messages you post there. Members can’t see each other’s profiles, dogs or records.
- Service providers who run parts of our website for us, only so they can provide that service:
- Supabase: stores our database, accounts and files (servers in the United States) and sends phone notifications.
- Cloudflare: hosts the website and manages our domain. If we turn on Cloudflare’s visit counts, they don’t use cookies.
- Google: our business email and phone service, secure backup copies of your records (Google Drive), “Sign in with Google”, and the fonts on our pages.
- Resend: sends our account emails, such as sign-up confirmations and password resets.
- jsDelivr: delivers a piece of code our booking form and portal need.
- Your device’s notification service (for example Google, Apple, Microsoft or Mozilla) delivers phone notifications if you turn them on. Notifications never include the content of your messages.
- When the law requires it, or to protect the safety of people or animals.
Sign in with Google
If you sign in with Google, we receive your name, email address and profile photo from your Google account. We use them only to create and run your portal account and to show your photo to our team (and to group chats you’re in). We don’t access anything else in your Google account, and we don’t share this information with anyone except the service providers listed above who run our website. ODIN-K9’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Cookies and storage on your device
We don’t use advertising or tracking cookies. The website and portal save a few things in your browser so they work: your sign-in, a code that connects a form you sent to your new account, and simple choices like hiding the “install the app” card. You can clear these at any time in your browser settings (you’ll be signed out).
How long we keep it
- Account, dog and training records: while you’re a client, and afterwards for as long as we reasonably need them for our records.
- Signed waivers and agreements: for as long as we may need them for legal reasons, even after you stop training with us.
- Puppy waitlist applications: while you’re on the waitlist or own a dog from us, and for as long as we reasonably need them after that.
- Spam-protection codes: about a day for booking requests; for puppy applications, kept with the application.
You can ask us to delete your information sooner (see below).
Your choices
- See and update your profile, your dog’s profile and your photo in the portal.
- Turn off notifications in the portal under Profile → Notifications, or in your phone’s settings.
- Ask for a copy of your information, or ask us to correct or delete it, by emailing info@odin-k9.com. We’ll get back to you as soon as we can. We may keep signed waivers and agreements where we need them for legal reasons, and we’ll tell you if we do.
Security
Your information travels over an encrypted connection, and access is limited by account: you see only your own records, and our team sees only what their role allows. Documents such as waivers and vaccine records open through short-lived private links. Profile and dog photos are stored at web addresses that can’t be guessed but aren’t password-protected, so anyone given the exact link could view the photo. No system is perfectly secure, so please use a strong password and tell us right away if you think your account has been misused.
Children
You must be 18 or older to apply for a puppy. Our website isn’t meant for children under 13. If you believe a child has given us information, contact us and we’ll delete it.
Changes to this policy
If we change this policy, we’ll update the date at the top of this page. For important changes, we’ll also let members know (for example, by a message in the portal or by email).
